Event organisers are responsible for event risk assessment and public liability insurance. We recommend that you should have your own public liability insurance (minimum of five million pounds cover) which would indemnify your group in respect of injury or damage to property occurring as a result of your actions or activities.

Event organisers should ensure that they have taken all steps necessary to ensure the health and safety of participants at their events. Event organisation and safety can be found in the council’s Event Safety Guide.

For events offering refreshments or featuring food, organisers should adhere to the relevant food hygiene and safety requirements. Further advice and information can be found at www.southglos.gov.uk/environment-and-planning/environmental-health/food-safety/food-businesses/food-safety-regulations.

If you are taking photographs at your event, organisers should ensure that you have the relevant permissions from those in the picture.

Organisers should ensure that your event promotes good equal opportunities practice by being open and accessible for all. For further information go to www.southglos.gov.uk/community-and-living/equality-and-diversity/

Organisers should have suitable procedures in place to safeguard children or vulnerable adults. Further information on safeguarding children and vulnerable adults can be found at sites.southglos.gov.uk/safeguarding

Participants should promote the Discover Festival in publicity for your own events. We suggest the following wording for any press releases:

This event is part of the South Gloucestershire Discover Festival which has been co-ordinated by South Gloucestershire Council. For more details about the festival go to the website or pick up a programme at your local library.

In order to capture your feedback and assess the impact of the Festival, organisers should complete an evaluation form online, which we will send you a link before the Festival.

By submitting an application, you are agreeing to the information being held by South Gloucestershire Council to maintain a database of local groups. The event details will be published on the Discover website and may be published in promotional literature for the Discover Festival and in any other council publications to promote cultural activities.

The details provided will be used to supply information to those interested in groups within South Gloucestershire and to pass on information regarding future opportunities to participate in activities organised by the council. The individuals identified consent to disclosing their details to the council for the uses outlined and to contact South Gloucestershire Council to update these details if they change.
